A property manager can keep the office door open all day and still have a team that never walks through it. Why? Because psychological safety matters more than physical access. The open door policy is one of the most common and least effective leadership ideas in multifamily operations. Not because access does not matter. Because it places the burden on the person with the least organizational power in the conversation. Team members do not need a door to be open. They need to believe that what they bring through it will be received without dismissal, without defensiveness, and without consequences that outlast the conversation. That is the real issue. The leader who creates genuine access does not announce a policy. They demonstrate, repeatedly and publicly, that honest input is welcome. They show that questions are treated with intelligence, not insubordination. They show that the person who surfaces a problem early is helping the business, not threatening it. They show that bad news can be heard without blame, embarrassment, or emotional fallout. In today’s example, the door was open, but no one came in. The manager assumed the team had nothing to say. That was not true. They had plenty to say. They just did not believe it was safe to say it. That is why the open door policy can become nothing more than a piece of furniture. Visible. Available. And functionally useless. Build the safety instead. No one needs your door open. They need to trust what happens when they walk through it. They need to know they can bring you a problem, even a hard one, without feeling demeaned, demoralized, or put at risk. Your job in that moment is not to react emotionally.
